As the Senior Admin Executive, you will oversee all facilities and admin-related activities reporting to the Admin Manager.
You will play a key role in overseeing our administrative department, ensuring the smooth operation of day-to-day activities, and providing leadership to the administrative team. You'll drive efficiency and be a good steward of The Scaler's resources, and inform of contract and SLA adjustments.
Roles and Responsibilities:
- Planning and coordinating administrative procedures and systems and devising ways to streamline processes
- Provide an exceptional customer service experience, and be the face of workplace services to our end users.
- Sourcing for admin, facilities, transport, travel & general office requirements
- Maintain organization of office operations, procedures, and compliances
- Manage schedules and deadlines
- Operate as the lead point of contact and support Admin Manager for any and all matters specific to the execution of operational activities (Event Management, Travel Booking, Logistics, Custom Clearance of Shipments)
- Preparing reports, MIS & other documents for the admin department.
- Negotiation with the vendors to ensure timely supply & vendor management
- Raising PR/PO and coordination with finance for the payment
- Oversee materials and inventory management
- Supervise all staff facilities staff (custodians, technicians, security staff, groundskeepers etc.) and external contractors
- Control activities like parking space allocation, waste disposal, building security etc.
- Monitor inventory of office supplies and the purchasing of new material with attention to budgetary constraints

Key Requirements
- Bachelor's degree in a related field, or equivalent practical experience.
- 6-8 years of combined admin and facility management experience and service experience with an emphasis on facilities, hospitality, corporate services, property management, or equivalent office management.
- A team player with great communication skills.
- Based in Bangalore, the ideal candidate would be an energetic individual with good customer orientation and interpersonal skills.
- Well-versed in technical/engineering operations and facilities management best practices
- Experience collaborating with other business units to meet company goals and standards, and act with integrity in all business transactions.
- Proven record of effecting strategic change and initiatives where prudent.
- Ability to think 'out of the box and bring creative, nonstandard, and innovative solutions to the table.
- Ability to communicate in written format as well as meetings, and ability to travel across the offices in your region.
- Leadership skills, with proven ability to influence at all levels.
